Don't underestimate the power of the EXTERNAL keyword in Table Fields and
other workflow!
First use is the most obvious: supply various results in your table field
and therefore building a more user friendly application.
Second more a DBA benefit: always start the query with statements that are
indexed and therefore creating queries that perform.
Example:
You build workflow that Joe User allows to create his own dynamic query. He
is interested in e.g. all cases that were requested by him last year and
with 'Type' = "Workstation". Joe selects the field 'Arrival Date' and
'Type', fills in proper data and then fires workflow to create a two
statements qualification and refresh the table field. If the query with
only those two statements hits the database you problably get to much (all
requests of proper 'Arrival Date' and 'Type') and if your indexes are not
configured right, you risk Joe firing a full table search.
Then you can create workflow that adds a 'Prefix' to the qualification,
like 'Requester' = $USER$. Off course you indexed the 'Requester' field, so
that the search performs well and beside that: you are ensured that Joe
only sees his own requests. Another benefit: you are ensured that Joe never
fires an unqualified search.

Can someone please explain the EXTERNAL keyword and how I might optimize
it's use in workflow, esp. with regard to table fields. I'm sure it can be
used to dynamically build the qualification for a table field.....what else
might I use it for? My thinking is sometimes just too limited.

Instead of having 5 tablefield You can have one and 5 URL buttons, each of
them change the searchcriteria for the tablefield.
